The Shift Summaries are automatically generated when an attendant (Runner, Dispatcher, or Garage Manager) ends their shift. Shift Summaries show the payment amounts for the shift, vehicles on board, gate vend activity, and a Product Summary.
Shift Management Options
When initially setting up a valet location, Flash Valet manages shifts in two distinct ways: Dynamic shifts and Single-shift options.
Dynamic Shifts vs Single Shifts
The Dynamic Shifts option allows multiple Valet dispatchers to log into the FlashValet app under the same location, with each logged-in dispatcher being the owner of their respective shift. This means all transactions processed on a device will appear on the shift owner's Shift Summary report. When ready to log out of the app, the user will be asked if they want to end their shift. Ending a shift triggers the shift summary report to be generated for the previously logged-in dispatcher.
The Single Dynamic Shift option allows a user to be considered the Shift Captain for all transactions processed under multiple dispatcher accounts (multiple devices). Once the Shift Captain logs out, a Shift Summary report will be generated with all the user's activity. In addition, the app prompts the Captain user to designate a new Shift Captain who is already logged into another device.
How to Log Out and Generate a Shift Summary with Single Dynamic Shift Mode
1. Navigate to the Control tab and tap "Logoff."
2. Toggle the "End Shift" option to "Yes" and tap "Log Off."
3. Select the individual to whom you wish to transfer shift responsibility from the list of signed-in valets.
If only one other user is logged in, Flash Valet will automatically transfer the shift to this user without a prompt.
4. Tap "Logoff". FlashValet will present the Revenue Summary, detailing all transactions processed by users signed into other devices.
5. Select "Submit." The shift summary will then be emailed to the designated location managers listed in the Admin portal.
6. The newly appointed Shift Captain will receive the following message highlighted in a red bar at the bottom of the screen: "You are the dispatcher in charge of money from now on. Any money collected by you prior to this message needs to be given to the previous main dispatcher."
Shift Summary Settings
Auto Log Off Settings
The Sign Out Limit setting controls how many hours the Dispatcher can be logged into the Flash Valet app before being automatically logged out. This is helpful when a user forgets to logout, the system will auto-close the session after a set number of hours.
Email Shift Summary To
The email addresses entered into the Email Shift Summary To field will receive the automatically generated shift summary reports when the Dispatcher ends their shift in the Flash Valet app.
Be sure to select Save at the bottom of the page to save any added email addresses.
If the Dispatcher does not properly end their shift in the Flash Valet (selecting End Shift when logging out of the app), the system will not generate a Shift Summary report. If the system auto logs the user out of the app because they have reached the Sign Out line the shift summary report will not generate.
Email Shift Summary to Staff
When this flag is checked, the Shift Summary report is automatically emailed to the dispatcher’s email address associated with their account when the shift is ended via the Flash Valet app.
If not using a valid email address for the account username, the Dispatcher will not receive an emailed Shift Summary Report
Valet Runners
Valet users cannot generate a Shift Summary report, only dispatchers can do so. To view detailed information regarding valet activity, a separate report called the Valet Activity Report can be downloaded from the Reports tab in the Admin portal.
Download Shift Summary reports
The Shift Summaries tab can be found at the top of the orange location tabs in the Flash Admin portal.
A list of all generated Shift Summary reports will appear, select the desired report.
Note that a new report is created every time a user logs out of the Flash Valet app.
To download the report, simply click the down arrow at the top right part of the page.
Below is a visual example of a Shift Summaries report:
View System Logged Out Sessions
If the system logs out a user because they did not end their shift and the shift reached the Sign-out Limit, these shifts will appear highlighted in red under the Time Sheet tab.
By clicking any of these sessions, a summary for that shift will be presented, where administrators can see the start and end shift in the On Duty Since and Logged Out At fields. Any comments regarding the shift can be placed in the comments section and then click the Save button.
Note that shift sessions can also be deleted, however, they can also appear when searching for any sessions bu checking the Show Deleted flag at the moment of search.
How to manually log out a user from the Flash Admin portal
Clicking the Time And Attendance tab will allow users to select a Date to show all available shifts for that period, shown in the Time and Attendance Records section below. Users can then select the shift session they wish to review and end.
After selecting the shift, the current time must be typed into the Logged Out At field to end the session for the current valet’s shift, and then click Save.
No future date can be typed in this field, if this happens the system will show a notification and will not allow the user to save changes.
After the steps above have been completed, the Time and Attendance Records section will show the shift session with the Logged Out At time previously selected.
Other related reports
The following list contains related reports that can be found in the Report tab in the Admin Portal, these reports must be submitted with the desired parameters and are not automatically generated like the Shift Summaries unless otherwise scheduled.
The Vehicle Activity report can show a wide variety of options to check on parkers.
