MEMBERSHIP SETTINGS

Membership Settings determine how the Member pays for parking. The Membership Setting is created separately from the Membership Account and then linked to individual member accounts. A setting can be created and then applied to multiple members. 


Auto Reload Setting

The Auto Reload Setting option requires the member to have a valid credit card on file. The card on file will be charged a predetermined amount to create an available balance. The amount due at exit will automatically deduct from the member's account balance. If the account balance falls below the specified Reload Threshold, the credit card on file will be charged the Reload Limit amount and added to the account balance. 


1. Go to https://portal.flashvalet.com and log in to the Admin Portal.


2. Select Locations on the left menu and choose a location.


3. Select the Membership Settings tab from the top menu and click Add New.


4. Enter a Member Setting name to differentiate it from other programmed Membership Settings.


5. Set the Credit Card Charge Option to Auto Reload in the drop-down menu.


6. Enter the Reload Threshold amount (the amount that causes an auto reload to occur).


7. Enter the Reload Limit amount (the amount added to the account when the Reload Threshold amount is reached).




8. (Optional) Set an additional auto-reload feature (see below) and select Save.



The Auto Reload setting offers the option to send a balance or activity email to the member. 


Bypass Charge Summary

Skips the charge summary screen on the kiosk when the membership account holder is exiting the parking facility. If the Membership Account does not have enough funds to cover the transaction or the card on file is expired, then the charge summary will be triggered and require a new card to complete the transaction.


Balance Emails

Active Members receive an email with their current balance. The email will only be sent to the email address that’s registered on the Financial Contact of the Member’s account. Admin users can schedule when this email is sent.


Activity Emails

Active Membership Account customers receive an email that includes a list of all the debits and credits applied to the member’s account during the chosen time range (e.g., a day, a week, or a month). The email will only be sent to the email address that’s registered on the Financial Contact of the Member’s account. Admin users can schedule when this email is sent.



Please leave the Balance/Activity Email box empty. When you enter an email address, it will receive all balance/activity emails from all members associated with that membership setting. Additionally, members will receive their own emails containing their balance/activity information.



Allow Negative Balance

In the event, that the credit card on file does not complete the Auto Reload amount, a negative balance allowance can be enabled per Member Setting. This will allow the member parker to continue accessing the parking facility until the Negative Balance threshold is met. The option to disable access once the threshold is reached can be activated, this would deny parker access until their credit card is updated, and the negative balance paid.


When the Allow Negative Balance is enabled the Reload Threshold field becomes null and the new threshold is the Negative Balance Threshold.


The Negative Balance setting should only be used with the Auto Reload Setting option.

Additionally, admin users can manually send out these Activity Emails to their parkers by going into the Transactions tab in their accounts and clicking on the “Email Activity Report” button.





Charge Every Time Setting


1. Go to https://portal.flashvalet.com and log in to the Admin Portal.


2. Select Locations on the left menu and choose a location.


3. Select the Membership Settings tab from the top menu and click Add New.


4. Enter a Membership Setting name to differentiate it from other Membership Setting

options.


5. Set the Credit Card Charge Option to Charge Every Time in the drop-down menu.


6. Select Membership Account Features to enable on the account: Bypass Charge Summary.


7. Select Save.




The Bypass Charge Summary and Activity Email options are also available for the Charge Every Time setting. Charge Every Time parkers won't need a balance email since they are not using a balance. 




Not on Account Setting


If a Membership account is linked to the Not on Account Setting, a credit card won't be added to the account they will always be prompted for payment at the kiosk. This Membership Setting is actually unnecessary because the Charge Every Time setting prompts the parker for payment if no credit card is on file or if the card on file is declined.
